What is a Virtual Assistant and do I need one?

In Iron Man, Tony Stark had Jarvis. Somebody who he could talk to, who could do all kinds of different things for him. Your Virtual Assistant is kind of like your Jarvis. It’s a real person, a real intelligence, and literally anything that can be done over the internet which is anything (delivering food, arranging airfare, organizing business affairs, and managing contacts). Anything can be done by your virtual assistant.

We get to know you and find out your personality, your needs, and we create a profile on you. We use this profile in our hiring process because we take this profile and just like putting puzzle pieces together we then build a profile of the perfect virtual assistant for you.

We have access to resources and people that most companies don’t have access to here in the Philippines. We have a broad list and we find the perfect puzzle piece that fits your puzzle piece. If you’re particularly good at time management, then you might need a Virtual Assistant who handles different types of details.

If you suck at time management, we get a Virtual Assistant who’s good at time management. If you need help following up with the contacts in your social network, we get someone who’s good at following up with contacts.

Where are these Virtual Assistants located?

How involved is the company once I begin working with my Virtual Assistant?

We want to make absolutely sure that you make a positive ROI and a positive experience. We start out by meeting with you and your Virtual Assistant at least once a week and then that gradually moves down to once a month. We are always available and we are very confident in the assistants that we hire and if it doesn’t work out then we can usually help that person work somewhere else in our company and get you another Virtual Assistant.

If there’s problems of any kind, we can solve any of those problems because we are experts at this and we have a top down view of the relationship between you and your Virtual Assistant. We are very involved in the beginning and over time you won’t need us to be as involved, but we are always available.

I am located in the US/AU, can you still help me?

Absolutely. We don’t want anybody to be fully working at night because it’s very unhealthy. However there are some people who like to work in the evening and some that like to work in the morning. We can always find a crossover time where you are working with your assistant.

It’s also good to have your assistant working some of the time while you are sleeping or when you’re not working because that trains you and them for you to give them independent tasks and for them to work on those tasks while you’re away.

From Tom’s experience while working in the States, it was wonderful to wake up in the morning and have a whole bunch of stuff done and ready, then have a meeting with the Virtual Assistant and the assistant would go to bed while Tom would work throughout the day and repeat the process.

What is the time frame involved in the hiring process?

That varies a lot depending upon the profile and needs that you have. It can be very quick and just take a few days or it can be a few weeks. The worst case we’ve had was about 2-3 months. We make absolutely sure that this is a high ROI and profitable process for you. Depending upon your needs, we can make things pretty quick, but we would rather invest right and get you the right person and make sure that this is a long term growth beneficial relationship.

Remember that what you’re doing is getting leverage, growth and freedom simultaneously. We’re going to put in the time and make sure that you have somebody that matches your personality.

Will my virtual assistant be able to work unsupervised?

Absolutely, yes. We totally believe in raising and growing very intelligent and capable people. We don’t just hire people as robots. We don’t just slam in any old person. If a person cannot work unsupervised, then what’s the point? It’s taking your management time. The whole point of our process is not only to work unsupervised to grow to higher levels of work unsupervised, but the process does take time to set up and grow.

What happens if I don’t like the candidates you have chosen for me?

If you don’t like the candidates, no problem. Just let us know and we will adjust and tell us why you don’t like them so that adds to your profile. It shows us what we did wrong and we get the next person until we find someone that you like.

Also, we’re really good at this but nobody’s perfect and if we get someone that doesn’t work out, we will put in the time and fix the situation.

Is it possible for my Virtual Assistant to work during my preferred hours/time zone?

Yes, but we don’t want people completely working at night. It’s not healthy for people to work entirely at night, so we try to make a crossover of at least four hours of your preferred time and then allow them to sleep. We also work on making sure that we match their correct chronotype. Chronotypes are different people who have different sleeping schedules and you yourself might be a night owl or a morning person.

What is the security of me sharing overly sensitive information to my Virtual Assistant?

There’s a full process for that. There’s ways of sharing passwords where they don’t actually see the passwords, but they can still log in to accounts. There’s softwares like LastPass for that. Even so, you’ll get to know your virtual assistant and they’ll get to know you. You’ll be able to gradually give them more access and give them more things as you get to know and trust them. You don’t have to give them too much access at any given time.

Also, because we’re here in the country and we’re not just throwing people at you, we will also get to know them and we’ll have communication with your assistant and even meet them in person. This way you will have a lot more security than someone who just hires a completely unknown person online. We interview them and give them certain tests. We get to know them. Part of our security for our business model is that if a client has a business upset or leaves us for some reason, that we can still work with that assistant.

We offer security to the client because if the assistant has a tragedy in the family and can’t work then we make sure that the systems are clear to give the client a new assistant. If the client goes away then we make sure to take care of the assistant. When we are hiring, we put in a lot of work into making sure these people are good for long term relationships and people who we would be very happy to hire into our own company as well.
