How Richie Rebamuntan Built We Do The Talk into an Outsourcing & Training Ecosystem

Scaling an outsourcing business requires transitioning from personal execution to building sustainable operational frameworks. In the BPO and digital services sectors, relying on structured systems—rather than constant manual oversight—enables agencies to expand services without compromising quality.

On an episode of the Scale You Podcast, hosted by Le-an Lai Lacaba—co-founder of an Executive Assistant Agency, 2xYou—sat down with Richie Rebamuntan, founder and CEO of We Do The Talk. Richie shared her journey from working as a call center agent and freelancer to building a multi-layered outsourcing ecosystem in the Philippines, detailing how she overcame rapid hiring pressures, financial bottlenecks, and operational system failures.

From Call Center Agent to Freelancer to Agency Owner

Richie began her career in the corporate call center industry, gaining experience in telemarketing, customer support, and sales training. In 2010, she transitioned to freelancing, landing her first online role as a phone operator.

By 2012, as her client roster expanded beyond her solo capacity, she began hiring and training Virtual Assistants (VAs). Drawing on her background as a corporate sales coach, she built training and onboarding directly into her core service offering.

Early Operational Structure

To manage client workloads while maintaining quality control, Richie built standardized processes for her early team:

  • Standard Operating Procedures (SOPs): Documenting workflows, daily task expectations, and performance metrics for every role.

  • Manual Operational Checklists: Managing payroll, timekeeping, and contract agreements manually while standardizing schedules.

  • Direct Client Onboarding: Training VAs personally before transitioning them to long-term client accounts.

The Pressure to Scale: Rapid Hiring and Infrastructure Audit

A major turning point occurred in 2021 when a client requested a rapid scale-up of 100+ team members. Attempting to handle recruitment, onboarding, and payroll single-handedly led to extreme exhaustion, forcing Richie to hire internal leadership.

Richie brought on a payroll manager (a graduate from her training academy) and an HR manager to handle recruitment pipelines. As the business grew into an enterprise operation, it faced complex operational challenges, including client payment delays and workforce compliance audits.

Partnering with an external consulting firm to audit contracts, payroll structures, and legal compliance transformed her perspective—confirming that her agency had evolved into a multi-million enterprise requiring institutional systems.

The Three Pillars of the “We Do The Talk” Ecosystem

To support both enterprise clients and remote talent, Richie structured her business around three distinct, interconnected entities:

  1. We Do The Talk: The core digital outsourcing agency, providing customer service, telemarketing, virtual assistance, and digital operations teams.

  2. We Do The Academy (We Do Demi): The digital skills training arm that equips freelancers and VAs with practical skills, creating a direct talent pipeline for the agency.

  3. TechVana: A customized software-as-a-service (SaaS) and CRM platform designed to help small-to-medium businesses automate operational workflows.

Fixing Systems and Mastering Financial Management

Reflecting on her 7-year agency journey, Richie emphasizes that systems are the foundation of business stability. Whenever client friction or operational bottlenecks arise, the solution lies in auditing internal frameworks rather than making reactive changes.
