“How can having a Virtual Assistant make me productive? I don't think I need one.”
This was the very statement I told myself 5 years ago before I had hired my first VA.
And I've proved myself wrong over and over again since then.
Almost 2 years ago now, I've even hired a second VA to keep up with my own productivity with the freedom that my first VA gave me.
“I don't think I need one” has ended up with me having two, and I might even hire one more by next year.
Because while you might not expect it, but having a Virtual Assistant can definitely help you and your productivity to keep up with your business as it grows.
Here are all the different ways that having Virtual Assistants have helped me be more productive in 2xYou, and in other parts of my life too:
𝟏. 𝐅𝐢𝐥𝐭𝐞𝐫𝐢𝐧𝐠 𝐂𝐨𝐦𝐦𝐮𝐧𝐢𝐜𝐚𝐭𝐢𝐨𝐧𝐬
If left alone, my emails from the three different accounts I use can easily reach 100 within 24 hours. Sometimes more if it's a certain day of the month where people are sending in their reports.
Not even counting the inquiries we get from our Facebook page, our Instagram, my Instagram, and all the other platforms we're currently active in.
My assistant takes care of all of that.
She goes through my emails in the morning so I'm left with emails that I should be looking at.
I don't even look at our social media messages anymore – she just shows me the ones that she doesn't know yet how to respond to or is important for me to respond to.
This way I am freed up from responding/deleting/reading through emails that I don't have to.
𝟐. 𝐃𝐚𝐭𝐚 𝐂𝐨𝐥𝐥𝐞𝐜𝐭𝐢𝐧𝐠
From researching possible platforms we can find clients in, to finding a hotel that is particular to the kind I'm always looking for, my assistant helps me filter information as I need them.
She can look up possible connections for me, information on our clients, their birthdays so we can send them gifts, or what they would prefer as gifts.
𝟑. 𝐃𝐚𝐭𝐚 𝐎𝐫𝐠𝐚𝐧𝐢𝐳𝐢𝐧𝐠
Whether I need databases created with all of our employee's information or a full report on where I can travel during a pandemic, my assistant can organize the information that I need in the way that I need them.
𝟒. 𝐊𝐞𝐞𝐩𝐬 𝐌𝐞 𝐀𝐜𝐜𝐨𝐮𝐧𝐭𝐚𝐛𝐥𝐞
This is an essential thing: as a business owner, there are a million things I want to be focusing on or thinking about all the time.
Not even including the things I want to do or make sure that it gets done.
I have my goals, the company's goals, and everything else in between that I have to plan for and execute.
My assistant helps keep me accountable to make sure that I do get done what my priorities are, and we even will schedule sessions where she's in a Zoom call with me to make sure I finish what I'm supposed to be working on.
𝟓. 𝐊𝐞𝐞𝐩𝐢𝐧𝐠 𝐓𝐫𝐚𝐜𝐤 𝐎𝐟 𝐌𝐲 𝐏𝐫𝐨𝐣𝐞𝐜𝐭𝐬
Speaking of personal and business goals, my assistant keeps me on track with my projects by actually running it – she's a project manager of all parts of my life.
Whether it's my goal of being able to lose weight and making sure I'm keeping up with my workouts, or it's managing other employees to update our whole marketing plan, she keeps tabs on all the projects to run them or give me updates as needed.
𝟔. 𝐌𝐚𝐧𝐚𝐠𝐢𝐧𝐠 𝐘𝐨𝐮𝐫 𝐒𝐨𝐜𝐢𝐚𝐥 𝐌𝐞𝐝𝐢𝐚 𝐀𝐜𝐜𝐨𝐮𝐧𝐭𝐬
From researching the kind of content I could be doing, to actually just telling me to make sure that I get a particular kind of content done, my assistant manages my content as well as she manages me.
She creates the content from my Youtube videos or these articles and turns them into graphics, video teasers, and more.
𝟕. 𝐒𝐲𝐬𝐭𝐞𝐦𝐢𝐳𝐢𝐧𝐠 𝐑𝐞𝐜𝐮𝐫𝐫𝐢𝐧𝐠 𝐓𝐚𝐬𝐤𝐬
As the business has grown and scaled, there are more and more things that we have to do at a particular date to keep it running.
My assistant has a database of checklists to make sure that we're on track with even the small tasks that keep the business running smoothly, so I don't have to worry or even think about it unless she tells me to.
𝟖. 𝐋𝐞𝐭𝐬 𝐘𝐨𝐮 𝐅𝐨𝐜𝐮𝐬 𝐎𝐧 𝗪𝐡𝐚𝐭 𝐘𝐨𝐮 𝐃𝐨 𝐁𝐞𝐬𝐭
At the end of the day, the most magical thing about having the right virtual assistant is you're able to focus on what you want to focus on.
Whether you're a self-published author who got bogged down by the marketing side and all you want to do is write, or you started this business so you can free yourself, the right assistant can give you that.
Of course, there will be work that will need to get done on your end, but it's work that will be worth it once your assistant has you more productive than you ever thought you needed to.
