Every day your client is bombarded with a lot of to-do’s and meetings, whenever they open their calendar for sure they get overwhelmed with a lot of stuff to do within the day. Your role as an executive assistant is to make their daily agenda tolerable when they start their day. You are responsible for creating a clear daily agenda for your client. In this article, we’ll cover how to create a daily agenda that will help your client effectively make it through the day.
What is a Daily Agenda?
A daily agenda is a breakdown of activities your client will be doing for the rest of the day. The main purpose of the agenda is to give your client a clear outline of what should happen in the meetings that she will go through and how long the meetings should take. Having this information before their day starts should ensure that it proceeds efficiently and productively.
Here are ways to make your clients daily agenda smoothly:
Check Calendar Daily
Take note of every meeting and agenda your client has for the whole day, make sure no meetings and agendas have overlapped each other to avoid conflict with other meeting participants. Especially if your client is meeting with a potential new client or onboarding a new client.
Do A Research
This is one of the most important things to do when creating a daily agenda. Research is your top priority when it comes to incoming meetings of your client, you must create a data file that your client can review ahead of each meeting and podcast shows that she will attend to. This will enable her to have more knowledge of what her agenda is ahead of time. Details like what’s the name of the person she’s meeting with, where did she meet the person, where he resides, and what his occupancy is. This will also show her potential clients that your client is keen on details.
Create A Daily Agenda Note
A daily agenda note is where you sum up all your client's meetings, ordered to which comes first and which is last. Make sure to write the correct time and other necessary details you’ve researched right beside each other. Make sure it’s clear and direct to the point, add links to the Zoom meeting link if it’s available.
Ping Your Client
Since you’ve done a lot of research about your client's meetings, send a quick message to them that you've already prepared their daily agenda so they can review it ahead of time, this will give them more time to prepare for their upcoming agendas of the day. It will also give them more time to breathe since you’ve already prepared what she needs to know, she doesn't need to scram through the internet getting information on who she's meeting with.
Try these tips I have shared with all of you to make your client's life easier especially with facing upcoming agendas that they have to face every day, as an executive assistant there is nothing more rewarding than being able to take off unnecessary workload from your client's table. It is our main job to help them make their life easier.
